Main purposes of the job

The successful applicant will provide proactive support to our Global CEO. Their main focus will be to ensure that his time is managed effectively and making sure he is prepared for business meetings with necessary information to hand. The role will be based mainly in Planet’s London office, but some travel will be required.

Key tasks

  • Diary management, including prioritising and streamlining meetings and management of e-mails
  • Ensuring the CEO is prepared for meetings and has all the information he requires
  • Ensuring that all relationships with key stakeholders are managed effectively
  • Arranging and booking door-to-door travel and hotels as necessary
  • Acting as a point of contact and gatekeeper, fielding telephone calls and enquiries for the CEO
  • Raising expense claims on behalf of the CEO and screening expenses claims requiring CEO approval
  • Opening and distributing post as necessary, as well as organising relevant responses
  • Filing and archiving documents for easy future access
  • Working with teams across the business, where the CEO’s help is required for execution of contracts, legal agreements and tenders
  • Assisting with general enquiries from colleagues, customers, suppliers and members of the public
  • Offering input to key executive team communications and assisting communications team with events, as required
  • Helping to organise company social events

Qualifications

You do not need any formal qualifications for this role, although study in architecture, engineering or management is desirable.

Skills/competencies

The person hired will have key executive assistant knowledge and will be able to understand a business environment quickly. They will have excellent time management and problem-solving skills and be confident when evaluating shifting priorities, as well as having experience with standard Microsoft software such as word, PowerPoint and Excel.

Experience required

  • Significant experience of working for a global, fast growing company is advantageous.
  • You must be able to demonstrate your aptitude for PA work and willingness to learn on-the-job.
